Let’s say you have organized a successful fundraiser to raise money to support the impactful work of your organization or partner organizations. People from within and outside your network have poured in generous donations for your cause. Because the fundraiser was successful and the donations essential to the continuous operation of your organizations or partner organizations, you will probably want to organize a fundraiser again.

Cultivating Donor Relationships

How do you get people interested in supporting your cause again? 

One of the best ways is to provide transparency in how the donations were spent and what kind of impact was enabled by the donations. This can be done through an impact report. In addition to expressing gratitude to the donors, the impact report also enables you to retain your relationship with existing donors and develop new relationships with potential donors.

Demonstrating Organizational/Program Effectiveness 

With more funders transitioning to trust-based philanthropy, a comprehensive review of how donations are making a difference is more important than ever for organizations to effectively fundraise to ensure their financial resilience. 

A fundraiser impact report offers an overview of the goals, objectives, and outcome of the fundraiser. This provides donors with the knowledge that their donations are efficiently spent on worthwhile causes. Additionally, the report enables (potential) donors, volunteers, partners and collaborators etc. to learn more about the organizer, its mission and impact, and its efficiencies of donation utilization. This could attract potential donors and partners to support the organization and its initiatives. 

When communicating the impact of your fundraiser, you want to include both qualitative and quantitative data. For example, in addition to reporting the number of people benefiting from the funded projects, you should also include testimonials from the beneficiaries about the projects.

Transparency and Accountability 

An impact report provides donors with insight into how their contributions were used and the positive impact created as a result. Through clearly communicating program outcomes, financial management, and the organization’s/project’s overall impact, you can build trust and credibility with your donors.

What are the Key Components of a Fundraiser Impact Report? 

Introduction

In the Introduction section, provide a brief overview of the fundraiser: 

• What are its goals and objectives?
• Who was it organized by?
• When and where did it take place?
• What is the total amount of funds raised (amount allocated for grant)?
• Who/what are the beneficiaries?
• What is the total number of beneficiaries?/What is the total benefit?

Organization/ Project Description

If your fundraiser was held to raise funds for your organization or a particular project, describe it in detail. This section is especially important for a fundraiser supporting multiple projects and organizations. 

Let’s use FSI’s 2023 Annual Holiday Fundraiser as an example. In the impact report, you can see a detailed breakdown of each of the six funded projects all over the world. Each project description includes:

• Timeline of the project
• Location of the project
• Organizer/manager of the project
• The reason it receives funding: the credentials of the organizer/manager of the project, the solutions it offers to address challenges in the community
• The amount of funds allocated to the project
• What the funds were spent on
• The number of beneficiaries
• Photos and/or videos of the project
• Testimonials from the beneficiaries and organizer/manager of the project
• Links to the organizer/manager’s website and/or contact information and social media

Financial Transparency

Provide a breakdown of how donations were allocated in as much detail as possible to provide transparency. For an example of how to do this, please refer to the “Funds Raised” section in the FSI 2023 Annual Holiday Fundraiser Impact Report.

Acknowledgments and Conclusion

Don’t forget to thank the people who made this fundraiser possible! These people include the donors, the volunteers who help with data collection and drafting the impact report, the funded organization(s)/project(s) for doing the impactful work they do etc. 

Take the “Conclusion” section as an opportunity to call for action for future donation and support. Invite funders, partners, and collaborators to join your next fundraiser to create even greater shared impact, for example.

Data Collection and Prep Work for the Impact Report 

Now that you know what needs to be included in the impact report, you should have a clear idea of the qualitative and quantitative data you will need to collect to compile a comprehensive impact report. Here are some tips to help you plan your workflow: 

•  Work with your colleagues to list out the different kinds of data and metrics you will need to collect. 
• Think about how you will collect the data and metrics, and discuss division of labour with your colleagues. 
• Brainstorm the time needed for each and all tasks, and draft a timeline to hold everyone accountable for their work tasks and deadlines.
• Include regular check-ins with the FSI team, which can be done online or in person. Take these check-ins as meetings for progress updates or raising whatever queries you may have about your work.

Guide to using the Financial Reports Template

1. Income statement (also known as  Profit and Loss statement):This is a quarterly or yearly report that will be readily available to the public. Should clearly outline the inflow of new assets as well as the outflow incurred to produce revenue. It is recommended that you start with your revenue. Expenses and costs are then deducted closely followed by taxes. This leads to the calculation of your profit.
2. Balance sheet: Instead of showing your funds over a given period, the balance sheet shows your assets (what you own) and liabilities (what you owe) and the difference between them at the moment you produce the balance sheet. The difference between the assets and liabilities reveals the book value of the stakeholders’ stake in the company. Assets must be listed from most to least liquid (what can be made into money/ sold fastest). Liabilities are listed in order of immediacy.
3. Statement of cash flows: this statement reveals where the funding comes from and what it is used for (e.g. operations or investments). A statement of cash flow should show the ability of your company or organization to pay bills while funding future growth.

Funding Objective

Objective

Impact Incubator is a one-stop supporting platform that connects social innovation implementers (SIIs) to knowledge, resources and networks relevant to social welfare agencies, social enterprises, philanthropic foundations, business associations and professional bodies.

The Social Innovation and Entrepreneurship Development Fund (SIE Fund) aims to be a catalyst for promoting the development of social innovation in Hong Kong.

• It connects the different sectors of the community, including businesses, non-governmental organisations, academics, philanthropies, etc. to address poverty and social exclusion as well as foster the well-being and cohesion of the society through innovative solutions.
• The ultimate goal is to foster the development of the social innovation ecosystem where social entrepreneurs can thrive and potential talents can be unleashed to develop innovative ideas, products and services that can effectively meet social needs.

Target

Impact Incubator is a R&D Lab for entrepreneurial and innovative ideas with social purposes. They support:

• Social entrepreneur who aim to adopt sustainable business solutions to address poverty and social exclusion issues
• Social  from NGO or private sector, who aims to mobilizes internal resources for social good
• Social innovator who adopts creative approaches to addressing social needs

Amount of grants

Projects at different stages will require different amounts of grant funding over variable funding periods.

The maximum amount of grant funding for Late Prototype projects is HKD300,000*.

There is generally no funding ceiling for Start-up, Growing and Scale-up projects.  However, applicants will be required to secure at least 50% of their total funding application budget as matching funds ^. Matching funds may be in cash or in kind, provided by any party other than the HKSAR Government. If the SIE Fund funding application is for HKD500,000 or above, the Joint Vetting Committee and Proposal Assessment Committee will further review the application

• If your budget exceeds HKD200,000, an in-person interview will be conducted

Matching Fund excludes SIE Fund and all other HKSAR Government funding. It can be in-cash or in-kind e.g rental and equipment sponsorship. The applicant should submit supporting documents to support any in-kind valuation assessment. The matching fund amount will be subject to relevant terms and conditions and will require prior written approval

The approved grant is the sum of the capital grant and the operating grant, where:

• Capital grant is the amount approved for acquiring assets (i.e. capital expenditure)
• Operating grant is the amount approved for financing the funded project’s operating deficit

Budget

Only expenditure incurred exclusively for the funded project can be covered in the budget, for example ‒

1) CAPITAL EXPENDITURE

• Cost of procuring equipment
• Renovation cost

2) OPERATING DEFICIT (OPERATING EXPENSES IN EXCESS OF REVENUE)

• Salary (including the employer’s contribution to the Mandatory Provident Fund)
• Expenses for consumables
• External consultancy fees
• Production and promotion cost of project deliverables
• External audit fee (this is compulsory for organisations’ and companies’ funding applications)
• Patent registration fee
• Rental and utilities
• Travelling fee (not exceeding 5% of the total budgeted expenditure)
• Insurance
• Central administrative overheads* (not exceeding 5% of the budgeted expenditure)
• Charges levied by a party (e.g. parent company) for of central support / administrative services (e.g. management fees)

Payment of candidate

The applicant will be required to keep a Designated Bank Account solely for the purpose of implementing the approved proposal. The grant shall be remitted into the Designated Bank Account in installments at such intervals as specified in the contract.

In general, the initial installment will be released upon commencement of the project and the matching fund is deposited into the designated bank account. Afterwards, installments shall be released at intervals e.g. the submission of the progress and financial reports every six months and upon SIE Fund’s satisfaction of performance of the project. Not less than 10% of the grant will be reserved as retention money which shall be released after the completion of the project.

Eligibility

• Late Prototype Application: Hong Kong permanent residents aged 18 years or above, or organisations and companies limited by guarantee or limited by shares and registered in Hong Kong are eligible to apply.
• Start-up, Growing and Scale-up Application: Organisations and companies limited by guarantee or limited by shares registered in Hong Kong are eligible to apply.

Projects which are, or will be, supported by other public funding schemes will not be considered. Applicants cannot submit the same project proposal to different intermediaries to apply for the SIE Fund.

The Impact Incubator supports and incubates:

• Social entrepreneur who aim to adopt sustainable business solutions to address poverty and social exclusion issues
• Social intrapreneur from the NGO or private sectors, who aim to mobilizes internal resources for social good
• Social innovator who adopt creative approaches to addressing social needs

Types of funding

Late prototype

A social project or social enterprise with a solid prototype that has been alpha-tested. The project’s owner/founder intends to commercialise and launch the prototype to market.

• Application eligibility: Hong Kong permanent residents aged 18 years or above, or organisations and companies limited by guarantee or limited by shares, and registered in Hong Kong
• Maximum project duration: 18 months
• Maximum funding amount: HKD 300,000*
• No matching funds are required

Start-Up

A social project or social enterprise which has already been tested or launched to market. A business/ sustainability plan to support the project is required.

• Application eligibility: Organisations and companies limited by guarantee or limited by shares, and registered in Hong Kong
• Maximum project duration: 3 years
• No limit to the funding amount requested
• At least 50% matching funds are required

Growing

A social project or social enterprise which has already demonstrated initial track records in both business model and social impact, and has a potential to grow.

• Application eligibility: Organisations and companies limited by guarantee or limited by shares, and registered in Hong Kong
• Maximum project duration: 3 years
• No limit to the funding amount requested
• At least 50% matching funds are required

Scale-up

A social project or social enterprise which has already demonstrated proven social impact and sustainability. A solid plan to scale up the project is required.

• Application eligibility: Organisations and companies limited by guarantee or limited by shares, and registered in Hong Kong
• Maximum project duration: 3 years
• No limit to the funding amount requested
• At least 50% matching funds are required

1. Why accounting?

Financial accounting is the field of accounting concerned with the summary, analysis and reporting of financial transactions related to a business. This involves the preparation of financial statements available for public use. Stockholders, suppliers, banks, employees, government agencies, business owners, and other stakeholders are examples of people interested in receiving such information for decision making purposes.

It is important that you keep track of the money spent so that you can monitor the growth of your business. Keeping every account organised and all in one place would allow you to access financial transactions easily.

2. Accounting Basics

1.1 The Accounting Principle

ASSETS = LIABILITIES + EQUITY

• Assets: includes both current assets (items that are expected to convert into cash within a year; e.g. cash, cheques, accounts receivable, inventory and prepaid expense) and non-current assets (items which full values would not be recognized until after a year; e.g. land, equipment and machinery)
• Liabilities: similarly, there are current liabilities (short-term debts that are due within a year; accounts payables, notes payable, unearned revenues) and non-current liabilities (long-term debts that are to be repaid after a year or longer). A key differentiation would be the time of the payment vs the time of acquiring the said items.
• Equity: relates to the owners’ withdrawals, owners’ capitals, revenues, expenses

1.2 Double-entry accounting

This essentially means we always have two entries for each transactions

• one for DEBIT one for CREDIT.

When we take out money from our bank account to pay for an expense,

we always CR (-) Savings account (it is a current asset) and DR (+) the expense.

→ there will never be a time where there are two CR and two DR!

1.3 Understanding the Balance Sheet

• Balance sheet is a financial snapshot at a specific time point, which categorizes and lists out the current balance of each account that belongs to either assets, liabilities, or equity.

  • Inventories: the merchandise that your business retains for sale
  • Accounts receivables: the short-term amount that the clients have not paid for the goods and services a company has provided.
  • Property, plant and equipment, net: the fixed assets a company holds. Net means disregarding the depreciation
  • Depreciation: any long-term assets wear out during its life span, thus decrease in value over time. Depreciation is used to describe the loss of value of these assets.
  • Goodwill: the value of a company that exceeds its market value, usually for its reputation or patronage
  • Intangibles: assets like trademarks, patents, etc. are categorized as intangibles.
  Liability
  • Accounts payable: the amounts already incurred but not yet paid, usually to your suppliers, .
  • Unearned revenue: the revenue received in advance for goods or services not yet rendered.
  • Accrued expense: the expenses incurred but not yet paid.
  Stockholders’ Equity
  • Common stock: the total amount of stockholder’s investment into the company
  • Retained earnings: total profits or losses since the company’s inception.

How to Receive Google Ads Grants as an NPO

Google offers a hugely generous grant (up to $10k per month in ad spend), and if the ads are set up correctly, they deliver highly engaged and valuable traffic. Yet many charities and nonprofit organisations either don’t take advantage of it or have an account that was set up years back and neglected ever since.

To be eligible for Google Ads Grants

1. Access the link above and register your organisation as a Non-profit organisation.

2. Make sure your website meets the below requirements:

What Google Ads Grants require is a block of time for you to:

1. Learn how they work
2. Set up some basic campaigns (e.g., Brand campaign to promote your website)

Once that’s done, the account will only require small amounts of care and feeding, approximately two hours a month.

What do I need to do in order to use Google Ads Grants?

If you’re not yet using Google Ads Grants, you’ll need to:

1. Set up a new Google Ads account
2. Create some campaigns
3. Connect it to your Google Analytics and import conversions
4. Sign up for the Google Non-Profits programme
5. Apply to activate your Ads account under the Google grant programme

Step 5 can take quite a while to happen: Google says the current waiting time is 10-15 working days, but it often takes longer. Meanwhile, you can work away on getting more ad campaigns written and published while you’re waiting for the account to be activated.

Why use Google Analytics?

As a business owner, you are always thinking to improve your revenue, operations and consumer engagement. Google Analytics, now in its fourth iteration (GA4), is a user-friendly but advanced tool which collects real-time data and provides you with a wide range of useful insights that can be applied towards your marketing efforts. GA4 is also very effective in the long term, as it can help entrepreneurs predict client behavior and create innovative ideas to continuously re-invent as a company.

Google Analytics (GA): Which version are you using?

It was announced that on 1st July 2023, the previous generation of GA, Universal Analytics (UA), will stop all processes and be completely replaced by its most recent successor, Google Analytics 4 (GA4). Thus, users who are still relying on UA for data processing are strongly recommended to make the switch to GA4 in order to prevent any potential loss of information, as well as to begin collecting data in GA4 as soon as possible.

First, let’s check which version you are using right now:

• If you created your account after October 14 2020, you are already using GA4 and no switching actions are required.
• If you created your account before October 14 2020, and have not yet created a new GA4 property, you are still using UA.

In the case that your business is still using UA, here are the steps you can take to prepare for switching to GA4 going forward.

a) Initial Setup

The first step to using google analytics is to set up your account and link the data sources.

1) Account Setup

1. Head over to https://analytics.google.com/ , and press ‘start measuring’
2. Insert your account name and choose data sharing settings options.
3. Make sure you read and check which data sharing options you want to enable.

2) Property Setup

1. Insert your property name, and set reporting time zone along with the currency of your choice. Google Analytics will provide you with the reports in your chosen time zone and currency.
   1. Note that you can register multiple properties later on. Make sure you insert the relevant and specific property names! i.e. Stevie Corp Website, Stevie Corp marketing campaigns website, etc.

3) About your Business

You will then be asked to provide relevant information about your organization.

1. Industry
2. Size of your organization
3. What you would like to achieve through Google Analytics (GA4 will still provide you with the same interface and service, but its AI suggestions in the future may vary depending on your choices.)

b) Link your Data Sources

If you have completed setting up your account and properties, you will be able to see the ‘Admin’ page in Google Analytics 4. Now link your data sources in the Admin page by following the below steps:

1. In the property tab, click ‘Data Streams’

2. Select a platform of data stream source that you would like to track in Google Analytics

3. insert your Website URL, and the name of the data stream

• We recommend you allow ‘enhanced measurement’ for Google Analytics 4 to measure various data.

4. Link created – your data stream will now appear on the ‘Admin’ page

c) Adding Google Analytics script to your website (Wix/Wordpress)

For Google Analytics to extract and track the data flow regarding in and out of your website, you need to connect your website with the tracking ID or insert the tracking code lines into your HTML file.

Connecting Wix website

1. Go to ‘Property User Management’ → ‘Tracking Info’ → ‘Tracking Code’ → Copy the ‘Tracking ID’

2. Go on Wix → Select the website you want to connect with GA4

3. Click on ‘Analytics & Reports’ → ‘Old Analytics’

4. Press ‘Go to Marketing Tools’

5. Scroll down to find ‘Marketing Integrations’

6. Find ‘Google Analytics’ → Click on ‘Connect’

7. Click on ‘Connect Google Analytics’ on the top right → Paste your GA4 ‘Tracking ID’ in the pop-up and save.

Connecting WordPress website

1. Your WordPress Admin page → ‘Plugins’ → ‘Add New’

2. Search ‘Site kit by google’ → install and activate it

3. Once you activate it, you will see a page like below → Press ‘Start Setup’

4. Sign in to your Google account connected to GA4

5. Click ‘Go to my Dashboard’

6. Click on ‘Analytics’

7. Press ‘Configure Analytics’

8. Completed! Now GA4 can track your website and you can see the web traffic data.

d) Share Access on Google Analytics with Other People

If you want to share GA access with your team members, interns, management, board members, or others, you do NOTneed to share give the full log-in access to your registered email. Instead, you can share access by inviting them to your GA workspace by following the steps below.

1. Click on ‘Admin’

When logged in click on “Admin” in the bottom left.

2. Click on ‘User Management’

Click on “User Management” on the left column under “ACCOUNT”

3. Click on the ‘+’ icon

Click the + icon on the top right

4. Insert the email address you are inviting and the corresponding permissions

Write in the user(s)’ email address and choose the appropriate permissions. We should take great caution in enabling users to “Manage users”, so generally that should not be toggled on.

*The invited User can now log in to Google Analytics via their own email address and view the website data.

e) How to email yourself a recurring report

(1) Go on the report that you wanna receive regularly. (’Audience Overview’ in this example)

(2) Adjust the timeframe as the period you want to receive reports and set it as compare to previous period.

(3) Click ‘Share’ on the top right → insert your email → set the frequency

f) How to set up and manage view filters

You can exclude unwanted traffic and create custom views by creating and applying filters in GA4. For example, you can exclude internal traffic to show in your GA4 reports. However, edit permission is required in order to execute this action.

1. Navigate to “Admin”. Then, select the property for which you want to create a filter for.

2. Navigate to “Filters” in the “View” column (far-right) and create a view for your filter. Then, select the view you just created to apply the filter to.

3. Click the “+Add Filter” orange button in order to create a pre-defined or customized filter.
